Full-Time PA/Estate Administrator near Reading
Start Date: Ideally December 2025 (earlier start welcome)
Working Hours: Monday to Friday, 8:30am–5:00pm
Salary: up to £35,000 gross per year
About the Role
We’re looking for a proactive, organised and capable Personal Assistant/Administrator to support a welcoming family and their estate office near Reading, Berkshire. This is a varied, full-time role working across the family’s estate, household, and charitable foundation, with plenty of scope for someone who enjoys responsibility and thrives in a busy and collaborative environment.
You’ll be the central point of contact for the day-to-day running of the estate office, supporting the family and team across administrative, operational and personal matters. No two days will be quite the same – one moment you might be preparing contracts for a shoot day or managing social media updates for the estate, and the next helping to coordinate a house move or arrange family travel.
This is a Monday to Friday, office-based role with good structure and a lovely team culture. The family is warm and appreciative, and they’re looking for someone dependable, detail-oriented and confident managing a broad workload with discretion and care.
Key Responsibilities
This is a varied role with responsibilities spanning four main areas:
Estate Administration:
You’ll handle day-to-day estate office duties including answering phones, managing post and deliveries, filing and archiving (both physical and digital), liaising with contractors, booking events, managing social media accounts, and assisting with supplier research, insurance and utilities renewals.
Charity Support:
You’ll prepare and circulate meeting documents, take minutes, process donation payments, and manage records and receipts. You’ll also liaise with accountants to support the preparation of annual accounts.
Shoot & Property Management:
You’ll draft shoot day contracts, prepare menus and shoot cards, manage RSVPs and logistics, and assist with property admin such as compliance, contractor bookings, and updating maintenance records. You’ll also support with drafting agreements and contracts related to livery and grazing licences.
Family PA Duties:
This part of the role includes inbox and diary management, booking appointments, coordinating household budgets, processing expenses, managing insurances and vehicle admin, booking travel and accommodation, running errands and helping prepare properties for guests or travel. You may also be involved in coordinating family events and household improvements, and occasionally support with school-related admin.
